General Purpose of Position:
The Front Desk Coordinator will oversee the front desk's administrative tasks under the direction and supervision of the Office Manager or other designee.
Essential Functions:
· Complete administrative responsibilities including, but not limited to, screening patients and assisting with prior authorization and appeal processes for insurance companies.
· Responsible for entering instructions needed for scheduling in the electronic medical record.
· Take or respond to telephone calls promptly to establish or confirm appointments.
· Responsible for the scheduling of patient appointments for consultations, evaluations, and treatments; follow-up or re-evaluation
· Responsible for collecting existing and new patient insurance information for insurance verification purposes.
· Greets patients in a polite, prompt, and helpful manner. Provides any necessary information and/or assists patients with insurance information. Informs the appropriate person(s) of the patient’s arrival.
· Daily coding of appointment claims for transmitting to third-party billers. And follow-up for missing claims
· Updates patient information, collects and posts copays, and provides necessary forms for completing, obtains signatures as needed.
· Contact patients to remind them of future appointments and provide any instructions for the appointment.
· May perform administrative duties such as faxing, printing daily or weekly schedules, and depositing copays.
· Maintains all patient confidentiality in accordance with HIPAA and company policy.
· Responsible for entering data into various electronic systems and maintaining the integrity and accuracy of the data.
· Utilize appropriate schedule codes in scheduling office and medical procedures for patients with appropriate provider and time/location slots.
· Confirm that patients have proper medical clearance.
· Carry out pre-procedure phone calls and confirm appointment times with patients via telephone.
· Ensure suitable follow-up appointments are scheduled after a procedure is scheduled.
· Scheduling patient appointments, procedures, and other services using extensive knowledge of appointment types, locations, and providers.
· Perform electronic health record documentation on all treatment-related matters, communications, and face-to-face encounters in accordance with agency policies and federal/state standards.
· Office administrative tasks such as coordinating clinic activities, managing patient referrals, scheduling appointments, and handling all medical records in compliance with HIPAA.
· Self-directed and motivated with minimal direct supervision.
· Communicate effectively and compassionately with patients and their families;
· Communicate effectively and collegially with other professionals across disciplines, inside and outside of the office.
· Exercise sound clinical judgment in routine, urgent, and emergent clinical situations.
Education/Experience Preferred:
· Associate degree or equivalent with significant coursework in psychology.
· 1-year experience with medical front desk coverage.
· EHR software, prior authorization, and/or Insurance knowledge or experience
· Previous work or volunteer experience interacting with people with mental health challenges.
· Current Basic Life Support (BLS) Certification.
· Competency in Microsoft Office applications
Physical Requirements:
· Safely and successfully perform the essential duties of the job functions consistent with the ADA, FMLA, and other federal, state and local standards.
· Maintain regular, punctual attendance consistent with ADA, FMLA, and other federal and state and local standards.
· Must be able to lift and carry up to 30 pounds.
· Must be able to talk, listen, and speak clearly on the telephone.
